Part-Time Leave Calculator

The Part-Time Leave Calculator helps employers and employees accurately calculate annual leave entitlement for part-time working arrangements. Whether you work fixed days, compressed hours, or term-time only, this tool provides precise pro-rata calculations. Part-time workers are entitled to the same benefits as full-time colleagues on a pro-rata basis. This means your holiday entitlement is proportional to the hours or days you work compared to a full-time employee. This calculator handles various part-time patterns including fixed days per week, hourly contracts, compressed hours, and annualized hours arrangements. It provides both days and hours-based entitlements for flexibility.

Methodology

Calculation method

Pro-rata entitlement is calculated by multiplying the full-time entitlement by the FTE percentage. FTE% = (Part-time hours ÷ Full-time hours) × 100.

Formula: Pro-Rata Days = Full-Time Days × (Part-Time Hours ÷ Full-Time Hours)

Legal basis: Part-Time Workers Regulations 2000 (UK), pro-rata principle

Example scenarios

3 Days Per Week

Part-time employee working Monday to Wednesday

Why it matters: Working 3 days out of 5 = 60% FTE, so 28 × 0.6 = 16.8 days entitlement.

24 Hours Per Week

Part-time employee working 24 hours

Why it matters: 24 hours out of 40 = 60% FTE, so 25 × 0.6 = 15 days (or 72 hours).

80% FTE Contract

Employee on an 80% contract

Why it matters: Direct calculation: 28 × 0.8 = 22.4 days, with 6.4 bank holidays included.

Frequently asked questions

How do I calculate pro-rata annual leave?

Divide your weekly hours by full-time hours to get your FTE percentage, then multiply the full-time leave entitlement by this percentage. For example, 24 hours ÷ 40 hours = 60%, so 60% of 28 days = 16.8 days.

Do part-time workers get the same benefits as full-time?

Part-time workers are entitled to the same benefits as full-time colleagues on a pro-rata (proportional) basis. This includes annual leave, sick pay, and other contractual benefits.

How are bank holidays calculated for part-time staff?

Bank holidays are also pro-rated. If full-time staff receive 8 bank holidays and you work 60% FTE, you receive 4.8 days (which may be rounded up to 5 by your employer).

Should leave be tracked in days or hours?

For part-time workers with variable day lengths, tracking in hours is often more accurate. This ensures fair treatment when taking leave on longer vs shorter days.

What if I work different hours each day?

Calculate your weekly hours average, then use the hours-based calculation. When booking leave, track it in hours to ensure accuracy across different day lengths.

Can my employer round down my leave entitlement?

Rounding should be fair and consistent. Most employers round to the nearest half-day or allow hours tracking. Systematic rounding down could breach pro-rata requirements.
